The Coaching Academy Ltd, the company that operates Coach Search, is the data controller for personal information you give us through the directory. You can reach us at hello@coach-search.co.uk.
If you contact a coach through Coach Search or use the matching service, we collect the name, email, optional phone number and message you provide, plus your IP address and approximate location at the time of submission for fraud-prevention purposes.
Our lawful basis for processing this information is your explicit consent (the box you tick when you submit a form), supplemented by our legitimate interest in operating the directory and preventing abuse.
If you list a coaching practice we collect: your name, email, telephone, postcode, postal town, the bio you write, your photo, your selected niches, social and website links you provide, and (where applicable) your Stripe customer ID. We never store card numbers — Stripe handles those directly.
Our lawful basis for processing is the contract between you and us under which you are listed.
When a client contacts a coach through the directory, we share the client's name, email, phone (if given) and message with that coach so they can respond. We do this only with the client's explicit consent.
We use Stripe to process subscription payments. Stripe receives payment-related data directly; we do not pass through card details. Stripe's privacy policy is at stripe.com/gb/privacy.
We use Postcodes.io to convert postcodes and town names into approximate latitude/longitude. Only the postcode or town text is sent — never your other details.
We do not sell your personal information to anyone.
We use a small number of essential cookies (e.g. for keeping you logged in to your coach dashboard) and analytics cookies to understand how the site is used. See our cookies page for details.
We keep client enquiry data for as long as the receiving coach has an active listing, plus 12 months. Coach account data is retained for as long as the listing is active and for 6 years thereafter to meet UK accounting record-keeping requirements.
Under UK GDPR you have the right to access, correct, port, restrict or delete the personal information we hold about you, and to object to processing. To exercise any of these rights, email hello@coach-search.co.uk. We will respond within 30 days.
You can also complain to the Information Commissioner's Office at ico.org.uk if you think we've handled your data badly.
Coach Search data is hosted on servers in the United Kingdom. Stripe is used for payments and may process personal data in the European Economic Area and the United States; transfers are governed by Standard Contractual Clauses.
